🧩 Centralized management of clinical spaces and equipment

The Shared Resources Module of Odontomy allows you to manage, organize, and reserve physical and operational resources within one or multiple dental clinics in a centralized, visual, and controlled manner.

It is designed for dental clinics, offices, centers with multiple cabinets, and oral health teams that need to coordinate the use of chairs, offices, rooms, and shared equipment without conflicts, overcrowding, or time loss.

With Odontomy, each resource has its own profile, capacity, availability, and calendar, integrating naturally with reservations, scheduling, services, professionals, and clinical operations.

🔧 What is considered a shared resource?

A resource can be any element limited in capacity or availability, for example:

  • Dental chairs

  • Offices / cabinets

  • X-ray room (RX / panoramic)

  • Laboratory (internal or technical area)

  • Shared clinical equipment (scanner, laser, autoclave, etc.)

  • Common spaces (procedure room, sterilization room)

  • Branch / site infrastructure

  • Any other customized resource

📋 Resource Management

Each resource has a detailed profile to define its configuration and use:

  • Resource name

  • Description and internal notes

  • Associated branch or clinic

  • Status (active / inactive)

  • Maximum capacity (for example: 1 exclusive shift, or multiple units)

  • Identifier color for the calendar

  • Availability and operational rules

This allows for a clear and organized view of all available resources, avoiding planning errors and improving daily organization.

📅 Resource Reservation Calendar

Odontomy includes an advanced visual calendar to manage shared resources in real-time:

  • View reservations by day, week, or month

  • Quickly identify occupied or available resources

  • Filter by resource, branch, or status

  • Detect overlaps and conflicts

  • Navigate chronologically in an intuitive way

Each reservation is displayed with clear colors, statuses, and times, facilitating coordination between reception, professionals, and administration.

📝 Resource Reservations

Reservations allow you to block and assign resources on specific dates and times, avoiding double bookings and improving clinical planning.

Each reservation includes:

  • Reservation title

  • Assigned resource

  • Branch / clinic

  • Patient (optional)

  • Service or procedure (optional)

  • Responsible professional (optional)

  • Start date and time

  • End date and time

  • Duration

  • Number of units used (if applicable)

  • Priority (low, normal, high)

  • Status (pending, confirmed, canceled, completed)

  • Internal notes

  • Contact information

This allows for a complete management of the resource usage cycle, from planning to completion.

🔄 Statuses and Priorities

The module supports operational statuses to organize work:

  • Pending

  • Confirmed

  • Canceled

  • Completed

And priority levels to resolve conflicts and organize the schedule:

  • Low

  • Normal

  • High

Ideal for clinics with high demand or shared infrastructure among several professionals.

🏢 Multi-site and multi-office

Resources can be associated with multiple sites or locations, allowing:

  • Centralized administration

  • Independent control by site

  • Avoid conflicts between schedules of different offices

  • Scale operations without losing order

🔗 Integration with scheduling, services, and online reservations

Shared resources integrate natively with Odontomy:

  • Online Reservations (patient appointments + real resource availability)

  • Services and treatments (resource assignment by type of procedure)

  • Personnel (professionals and assistants linked to a resource)

  • Calendar (unified visualization)

  • Tasks (blocks for maintenance, sterilization, or calibration)

This ensures a realistic clinical planning and avoids reservations without operational capacity.

🛡️ Operational control and conflict prevention

The module is designed to reduce common errors:

  • Avoid double booking of the same chair or room

  • Allow blocking resources for maintenance or cleaning

  • Facilitate coordination between reception and professionals

  • Reduce downtime due to lack of availability

📊 Key benefits of the module

  • Avoid conflicts in resource usage

  • Improve operational planning

  • Increase clinical efficiency

  • Reduce downtime and overcrowding

  • Provide traceability and control

  • Facilitate teamwork

  • Scale with the growth of the clinic

🎯 Typical use cases

  • Reservation of dental chair for long procedures
